PRIVACY NOTICE: PROCESSING OF PERSONAL DATA

In accordance with our obligations under the Law n° 1.565 dated December 3rd 2024 (the Law), we give you notice that your personal data are handled (“processed”) by Lena Corporation S.A.M., with registered office at 74 Boulevard d’Italie – 98000 MC Monaco.

Details of that processing are set out below.

1. DATA CONTROLLER OF THE PROCESSING

The Data Controller for your personal data, answerable to you for the lawful and proper use of your personal data, is Lena Corporation S.A.M., with registered office at 74 Boulevard d’Italie – 98000 MC Monaco – contact details privacy@lenagroup.net, in the person of its duly empowered manager. You can address queries or requests to the Data Controller using the contact details below.

2. PURPOSES FOR WHICH YOUR PERSONAL DATA ARE PROCESSED

The purposes for which your personal data are collected and processed are set out below, with the legal basis for each:

3. HOW YOUR PERSONAL DATA ARE PROCESSED AND HOW LONG THEY ARE KEPT

Your personal data will be processed lawfully and in accordance with the principles of fair play and transparency, with or without the help of electronic tools, in such a way as to safeguard their accuracy, integrity and confidentiality at all times.
Your personal data are processed and stored in Ireland and in the Netherlands.
In accordance with the Law, your personal data will be kept for no longer than the time needed for the purposes for which they are processed.
The length of time for which your personal data continue to be processed is determined as follows: your personal data will be processed from the time you sign up to participating in the Event and will be kept for the length of time needed for us to discharge our legal obligations, which in this case is 10 year after the end of the Event. The start date of the processing will be the date when you register and complete the attached form.

4. PROVISION OF YOUR PERSONAL DATA IS OPTIONAL; CONSEQUENCES OF NOT PROVIDING THEM

Providing your personal data is a necessary condition of taking part in the Event and your access to all the services connected with it, such as travel or board and lodging at the establishments selected by the organizer of the Event.
Provision of your personal data is optional, but if they are not processed this will hinder the proper performance of the above activities by Lena Corporation S.A.M..

5. PERSONS TO WHOM YOUR PERSONAL DATA COULD BE COMMUNICATED

Your personal data collected are kept at [•]; they are processed only by specifically authorized staff and only in the course of their duties.

6. DISCLOSURE OF YOUR PERSONAL DATA

Within the purposes indicated in point 2 of this privacy notice, your personal data may be communicated to:
• all subjects to whom the right to access such data is recognized by virtue of regulatory provisions;
• to our suppliers and local correspondents for the performance of the related tasks in connection with the Event;
• to all subjects, public or private, when the communication is necessary or functional to the performance of our activity, also to comply with legal requirements, and in any case within the purposes illustrated above.
In particular, your personal data may be communicated to subjects operating in the following sectors:
– accommodation and hotel facilities;
– transport companies and carriers;
– catering;
– banks, financial institutions for the management of payment;
– accounting service providers;
– scientific associations
– relative public or private agencies related to CME
– companies participating in the Event with promotional functions.
Only the category of recipients is specified, as it is subject to frequent updates and revisions. The updated list of recipients may be requested by contacting the Data Controller through the channels indicated in point 1 of this privacy notice.

7. TRANSFERRING OF YOUR PERSONAL DATA ABROAD

Your personal data will be sent to other countries in the European Union.

8. YOUR RIGHTS AS DATA SUBJECT

While guaranteeing that your personal data collected will be processed in the most proper and transparent manner possible, we give you notice that you can exercise the following rights under the Law (article 11):
· the right to obtain access to your personal data from the Data Controller, and the right to rectification or erasure of personal data or restriction of processing of personal data concerning you, or to object to such processing under article 11 of the Law;
· the right to lodge a complaint with the supervisory authority (“Autorité de Protection des Données Personnelles”);
· the right to withdraw your consent to the processing of your personal data (including special categories of data) at any time; such withdrawal will not affect the lawfulness of previous processing based on your consent;
· the right to portability of your personal data: the right to be given a copy of it or to have it transferred directly to another data controller;
· the right – when the legal basis of the processing is either a contract or your consent, and that processing is carried out by automated means – to obtain your personal data from the Data Controller in a structured and machine-readable form for the purpose of communicating the data to another data controller or for other purposes (the “right to data portability”);

9. PROFILING AND DISSEMINATION OF THE PERSONAL DATA

Your personal data will not be disseminated, nor subject to profiling or any other fully automated decision-making process.
